If you would like to gain experience in the field of human resources within a large multicultural organisation such as the European Parliament, apply for one of the traineeships in DG PERS!
The Directorate-General for Personnel (DG PERS) is broadly responsible for managing the human resources of the European Parliament's Secretariat, so that it can provide the Members of the European Parliament (MEPs) with the assistance they need to fulfil their mandate.
More specifically, the DG PERS manages the different groups of staff throughout their career, in areas such as:
- Selection, recruitment, entry, training, career development;
- Management of rights and obligations, salary, allowances, pension rights;
- Protection and well-being at work;
- Strategies to improve and promote equality, diversity and inclusion;
- Management of trainees;
- Internal communication in the institution.
The Human Resources and Strategic Monitoring (HRSM) unit within DG PERS consists of two services: The Human Resources service handles all HR-related matters for DG PERS, managing human resources to support the achievement of its strategic and operational objectives. The Strategic Monitoring service ensures the management of personal files in the European Parliament. It also coordinates the corporate planning cycle and oversees and implements the document management policy in DG PERS.
This traineeship lays within the Strategic Monitoring service, specifically in the Personal Files team.
Your tasks
In this role, you will assist in maintaining, organising, and archiving records - both in physical and digital formats - while ensuring compliance with data protection regulations. You will also support the team in retrieving information and documents and contributing to the development of our knowledge base.
Key areas:
- Project management
- Contribute to digitisation projects;
- Participate in team meetings and suggest process improvements for efficiency;
- Document management
- Contribute to organising digital documents into the electronic records management system, including with proposals and ideas for improvement;
- This may include sorting, categorising and filing staff records (e.g., contracts, performance reviews, supporting documents) in accordance with the institution’s policies;
- Contribute to documenting new procedures by drafting process descriptions and instructions;
- Document summarisation
- Prepare concise digests of policies, procedures, or publicly available information relevant to staff records management;
- Knowledge base organisation
- Contribute to the development and maintenance of the team’s knowledge base (e.g., FAQs, process guides);
- Assist in updating internal wikis or intranet pages.
You are
We are seeking a motivated and detail-oriented trainee with the following skills:
- Proficiency in Microsoft Office (Word, Excel, Outlook);
- Meticulous attention to detail and ability to follow structured processes;
- Strong time management and prioritisation abilities;
- Confidentiality and discretion when handling sensitive information;
- Teamwork and willingness to learn from colleagues;
- Communication skills, including clear writing;
- Knowledge of the roles and responsibilities of the European institutions;
- Basic understanding of data protection principles (GDPR awareness);
- Knowledge of archiving, data management or legal matters would be an asset;
- You have obtained/will obtain a university degree (level 6 of EQF or higher) at least three months before the starting date of the traineeship.
