Who we are
The Directorate-General for Finance, hereinafter DG FINS, is responsible for Parliament’s budgetary and financial management. Based in both Luxembourg and Brussels, it draws up Parliament's budget, keeps Parliament’s accounts and prepares its financial statements, manages Members' allowances and entitlements, and finances Parliament’s political groups, as well as political parties and foundations at European level. DG FINS consists of three Directorates, 17 Units and the Central Secretariat. DG FINS plays a key and varied role in Parliament’s administration and is a trusted interlocutor for Members and political authorities. Joining DG FINS as a trainee will certainly boost your career. The Travel Management Unit is one of the four units within Directorate C (Political Structures Financing and Resources) and is responsible for facilitating the travel experience of different travellers (e.g. the Members of the European Parliament, staff members and guests). Our Unit supervises the proper implementation of the contract with the external travel agency. We therefore liaise between the travel agency and services paying for travel expenses to ensure compliance with applicable rules. Furthermore, we assist both organising services as well as the travel agency to provide travel arrangements for events at the three working places and at destinations all over the world. We negotiate agreements with airlines, train companies and hotels.
Your tasks
As trainee in our Unit, you will gain a board overview about travel related services within the European Parliament. You will be able to assist the Head of Unit, the Team Coordinators and the individual Team Members in a variety of tasks related to the mission of our unit such as:
- Interact with the agents of the travel agency and organising services to facilitate various group bookings, including the chartered Eurostar train;
- With the help of the team, advise and assist stakeholders in the organization and management of their events, including financial aspects;
- Monitor communications for both teams, flag issues and take action if necessary;
- Perform controls of bookings done by the travel agency (with the booking tool AMADEUS);
- Gather, analyse and summarise information and data (e.g. compiling and updating statistics, analysing contract clauses);
- Prepare and assist in meetings (booking meeting rooms, sending invitations, taking notes);
- Draft reports and notes to various files;
- Provide support with questions regarding contract implementation;
- Help improving the procedures in place.
You are
The successful candidate should:
- Have good linguistic and communication skills in English. French, German or other European languages are an asset;
- Have a good knowledge of Excel and other MS office applications;
- Be flexible and precise;
- Have good organisational skills;
- Have a high sense of responsibility and discretion;
- Be client- and service-oriented;
- Be capable of working both independently and as part of a team;
- Have interest, knowledge or experience in the field of business travel in general would be an asset (and especially an experience with Amadeus or another GDS).
You have obtained/will obtain a university degree (level 6 of EQF or higher) at least three months before the starting date of the traineeship.
