The Directorate-General for Personnel (DG PERS) is broadly responsible for managing the human resources of the European Parliament's Secretariat, so that it can provide the Members of the European Parliament (MEPs) with the assistance they need to fulfil their mandate.
More specifically, the DG PERS manages the different groups of staff throughout their career, in areas such as:
- Selection, recruitment, entry, training, career development;
- Management of rights and obligations, salary, allowances, pension rights;
- Protection and well-being at work;
- Strategies to improve and promote equality and diversity;
- Management of trainees;
- Internal communication in the institution.
We are the APA Front Office Unit and our role is to support the Members of the European Parliament in their endeavour to establish their teams, which consist of Accredited Parliamentary Assistants (APAs). While the Members made their choice as regards their APAs, the APA Front Office Unit manages their contracts (recruitment, changes, resignations and terminations) while ensuring full compliance with the relevant rules and also acts as a point of contact for all related questions and procedures. We also deal with all aspects related to the administrative and financial matters of APAs, as well as providing them with all the necessary information and support. The APA Front Office Unit comprises two sections:
- The APA Desk Section is the first point of contact for APAs seeking information about their contract, rights and obligations. The team is also an entry point for all requests submitted by Members. In their work, the Section uses specific IT tools.
- The APA Contracts Section establishes that the recruitment conditions are met, prepares offers and contracts, including their later modifications and prolongations and also termination decisions.
Your tasks
You will:
- Be at the heart of events in the field of human resources - in direct contact with the Accredited Parliamentary Assistants (APA) and the Members of the European Parliament (MEPs);
- Liaise with MEPs and APAs, dealing with their daily queries as regards administrative and financial aspects of APAs recruitments, modifications and end of contracts procedures (front office);
- Contribute to the administrative management of the MEPs requests (back office);
- Acquire practical knowledge necessary for human resources management (e.g internal HRM tools);
- Participate in meetings, trainings and all other activities of the unit where your ‘fresh’ view will be appreciated.
You are
If you:
- Are a proactive and curious person who enjoys being in touch with people;
- Have good communication skills and flair for interpersonal contact as well as a client-oriented approach;
- Have discretion and respect for confidentiality;
- Have good organizational skills especially for administrative matters and the ability to work in a team as well as independently;
- Have an excellent command of English and/or French, any other EU language is an asset;
- Have the ability to prioritise tasks in a demanding, changing and deadline driven environment and the willingness to acquire new skills while working with a highly motivated team;
- Have good knowledge of MS Office tools (Outlook, PowerPoint, Word, Excel) and readiness to work with new IT applications;
- Have human resources background and/or legal background and/or communication background plus financial competences as well as IT background will be an asset;
- You have obtained/will obtain a university degree (level 6 of EQF or higher) at least three months before the starting date of the traineeship.
