Who we are

The Secretariat of the Bureau and the Quaestors is responsible for preparing and following up on the meetings of these two governing bodies, in close cooperation with the Cabinets of the President and the Secretary-General, as well as all other relevant Directorates-General and Services.

The main tasks of the Secretariat include drafting chair notes, technical notes, minutes, draft decisions, follow-up letters and draft Notices to Members related to items dealt and decisions taken by these bodies. The team ensures the distribution and processing of all necessary documents to attendees prior to the meetings. The Secretariat is also responsible for the preparation of the meetings of all working groups of the Bureau as well as ad-hoc working groups.

Within the Secretariat, a team of three people is tasked to closely assist the activity of the Vice-President responsible for Parliament's dialogue with churches, religious and philosophical organisations, as foreseen under Article 17 of the Treaty on the Functioning of the EU (TFEU). Our activity includes the organisation of regular dialogue activities, such as meetings between the Vice-President and Article 17 organisations, as well as seminars on EU policies where representatives of Article 17 partner organisations engage in dialogue with Members and other EU institutional actors. Other activities may include book presentations by authors on topics related to religion, philosophy, and public policies.

 

Your tasks

As trainee in our unit, you will be involved in all aspects of preparing seminars and other activities, including day-to-day administrative tasks related to Article 17 of the TFEU, such as preparing short briefings and research studies on topics related to Article 17. When organising seminars, you will also work with various EP services (including the Protocol Service) on logistical aspects and with Article 17 partners to prepare the organisation of the event. On the day of the seminars, you will also be part of the welcoming team responsible for the accreditation of external guests, including high-level guests. All activities will be implemented under the supervision of the Article 17 coordinator.

Your other responsibilities will include assisting in preparing materials for the events, such as chair notes and speakers' biographies, and providing horizontal support to the unit for the day-to-day management of issues falling within the Bureau and Quaestors’ remit.

 

You are

  • The selected candidate should be interested in the work of the European Parliament and of its governing bodies (in particular the Bureau and the Quaestors) and be very respectful, sensitive and open to cultural and religious diversity;
  • The selected candidate will have a high degree of discretion, attention to detail and responsiveness in organising and participating in public events, as well as in communicating with a wide range of partners and stakeholders. The selected candidate should also be familiar and interested in issues relevant to the Article 17 dialogue, such as religion, philosophy and ethics, and their intersection with EU policy;
  • The selected candidate needs to demonstrate strong researching, summarising, and writing skills. Strong IT, web and communication skills are desirable, as well as an ability to take initiative in designing and producing communication materials;
  • Fluency in English is required. Knowledge of other official languages, as well as a legal, political, or social sciences background would be an asset.
