The Directorate-General for Personnel (DG PERS) is broadly responsible for managing the human resources of the European Parliament's Secretariat, so that it can provide the Members of the European Parliament (MEPs) with the assistance they need to fulfil their mandate.
More specifically, DG PERS manages the different groups of staff throughout their career, in areas such as:
- Selection, recruitment, entry, training, career development;
- Management of rights and obligations, salary, allowances, pension rights;
- Protection and well-being at work;
- Strategies to improve and promote equality, diversity and inclusion;
- Management of trainees;
- Internal communication in the institution.
We are the APA Front Office Unit and our role is to support the Members of the European Parliament in their endeavour to establish their teams, which consist of Accredited Parliamentary Assistants (APAs). While the Members made their choice as regards their APAs, the APA Front Office Unit manages their contracts (recruitment, changes, resignations and terminations) while ensuring full compliance with the relevant rules and also acts as a point of contact for all related questions and procedures. We also deal with all aspects related to the administrative and financial matters of APAs, as well as providing them with all the necessary information and support. The APA Front Office Unit comprises two sections:
- The APA Desk Section is the first point of contact for APAs seeking information about their contract, rights and obligations. The team is also an entry point for all requests submitted by Members. In their work, the Section uses specific IT tools;
- The APA Contracts Section establishes that the recruitment conditions are met, prepares offers and contracts, including their later modifications and prolongations and also termination decisions.
Your tasks
Your tasks will be:
- Liaising with MEPs and APAs, dealing with their daily queries as regards administrative and financial aspects of APAs recruitments, modifications and end of contracts procedures (front office);
- Contributing to the administrative management of the MEPs requests (back office).
We therefore expect that you:
- Develop your practical knowledge necessary for APA human resources framework, which also include legal aspects, production of the contract and document management;
- Familiarise yourself swiftly with the relevant IT tools;
- Develop your language and communication skills, as you will be working in a truly multilingual environment;
- Participate in meetings, trainings and all other activities of the unit and bring a valuable support to our dynamic team.
You are
If you have:
- Good communication skills and flair for interpersonal contact as well as a client-oriented approach;
- Discretion and respect for confidentiality and deadlines;
- Good organisational skills and the ability to work in a team as well as independently;
- Good knowledge of English and French; knowledge of another language or languages will be an asset;
- The ability to prioritise tasks in a demanding and changing environment and the willingness to acquire new skills while working with a highly motivated team;
- Good knowledge of MS Office tools (Outlook, PowerPoint, Word, Excel) and readiness to work with new applications;
- Human resources background and/or financial competences as well as IT background, this will be an asset.
